Renovation costs can move from manageable to uncomfortable surprisingly quickly. In the 2026 UK Houzz & Home Study, based on 1,306 UK homeowners using Houzz, the median planned renovation spend was £10,000—but budgets at the 90th percentile reached £65,000. The sample does not represent every UK household, but it shows how widely project costs can vary. Houzz UK
A home renovation budgeting app cannot tell you what your project will ultimately cost. It can, however, keep estimates, written quotes, purchases, payments and approved changes in one organised system. That makes it easier to see problems before they affect your normal household spending.
This guide uses UK prices, VAT rules and consumer protections. App features and UK availability were checked in August 2026.
What renovation budgeting with a project app means
A renovation budget is more than a list of expected prices. It should show four different figures:
- Budget: the maximum amount you have allocated.
- Estimated cost: the current working prediction.
- Committed cost: money covered by an accepted quote, order or contract.
- Actual cost: money already paid.
Your working forecast can then be calculated as:
Forecast final cost = actual payments + unpaid commitments + remaining estimates + contingency
Keeping these figures separate matters. A £4,000 estimate is uncertain; a signed £4,000 quotation is a commitment; and a £2,000 deposit is an actual payment.
MoneyHelper recommends listing all the work, obtaining at least three written quotes and comparing their details. It also distinguishes a quotation—an agreed fixed price—from an estimate, which can change. MoneyHelper
A suitable renovation project app helps you connect those costs to rooms, tasks, suppliers, deadlines and decisions.
Build the budget before choosing an app
Start with the amount your household can safely afford, not the amount an app suggests you could spend.
Keep your everyday emergency savings separate from the renovation contingency. MoneyHelper’s general rule of thumb is to hold three to six months of essential outgoings in an instant-access emergency fund. That reserve is intended for events such as lost income or an urgent boiler repair—not optional upgrades to your kitchen. MoneyHelper
Divide the renovation into clear categories:
- Design, surveys and professional fees
- Planning and building-control costs
- Demolition and waste removal
- Structural work
- Plumbing, heating and electrics
- Kitchens, bathrooms and fitted furniture
- Flooring and decorating
- Appliances and loose furnishings
- Temporary accommodation or storage
- App subscriptions and other administration
- Contingency
Choose your contingency according to the project’s uncertainty. Work involving an older building, hidden services or incomplete designs normally needs more flexibility than straightforward decorating. Treat that money as reserved capacity, not as permission to upgrade finishes.
The fields your renovation cost tracker needs
Whether you use a database or a visual task board, create one record for every cost item. Useful fields include:
| Field | What to record |
|---|---|
| Cost item | A specific product, service or work package |
| Room or phase | Kitchen, bathroom, rewiring or another category |
| Priority | Essential, desirable or optional |
| Supplier | Builder, retailer or professional |
| Cost status | Allowance, estimate, quoted, ordered or paid |
| Estimated cost | Your early planning figure |
| Quoted cost | The written price received |
| VAT included? | Yes, no or awaiting confirmation |
| Committed cost | Accepted quote or confirmed order value |
| Amount paid | Deposits and completed payments |
| Remaining cost | Committed amount minus payments |
| Due date | Expected payment date |
| Evidence | Quote, invoice, receipt or contract |
| Change reference | Link to the approved variation |
Do not enter one vague line called “new bathroom.” Separate labour, sanitaryware, tiles, lighting, disposal and professional work. This makes competing quotes easier to compare and shows exactly where a saving is possible.
Most work on existing UK homes is normally subject to the standard 20% VAT rate, although qualifying work can receive reduced or zero rating. GOV.UK Citizens Advice recommends checking whether every quotation includes VAT. Citizens Advice
Which project apps genuinely help?
Three apps stand out for different parts of the task. Their documented functions are described separately from the practical assessment below.
| App | Strongest use | Main limitation |
|---|---|---|
| Airtable | Detailed household budget and cost database | Requires initial setup |
| magicplan | Floor-plan-based quantities and estimates | Professional pricing model and regional estimating limits |
| Trello | Tasks, decisions and change approvals | Weak as a standalone financial tracker |
Airtable: strongest all-round budget tracker
Documented functionality
Airtable supports currency, formula, attachment and linked-record fields. Its rollup fields can aggregate costs from linked records, allowing individual purchases to be totalled by room or project phase. Airtable Support
The Free plan is available at no charge and is intended for individuals and small teams with lightweight requirements. Airtable’s published limits include 1,000 records and 1GB of attachments per base. Airtable pricing The service has browser, iOS and Android access, although some desktop features are limited or unavailable in the mobile apps. Airtable Support Its UK App Store listing confirms current iPhone and iPad availability. Apple App Store UK
Analysis and recommendation
Airtable is the most complete option here for a financially conscious household. You can create a costs table, a suppliers table and a changes table, then connect them without duplicating information.
Useful formulas include:
- Variance: budget minus forecast cost
- Remaining payment: committed cost minus amount paid
- Line total: quantity multiplied by unit price
- Potential saving: quoted cost minus selected alternative
- Contingency remaining: contingency budget minus approved unforeseen work
Pros
- Handles detailed cost calculations.
- Groups spending by room, supplier or priority.
- Stores quotes, invoices and product information beside each cost.
- Supports real-time household collaboration.
- The Free plan should have enough records for many single-home projects.
Cons
- Setting up linked tables and formulas takes time.
- Mobile apps do not provide every desktop feature.
- It will not calculate material quantities from a floor plan.
- Uploading many large photographs or documents can use the free storage allowance.
magicplan: useful when measurements drive the estimate
Documented functionality
magicplan creates floor plans on iOS and Android devices and can associate measurements, photographs and notes with rooms. Its estimator can calculate material and labour quantities from floor plans and use price lists. However, the built-in Craftsman Book price lists are documented as US-only, so UK users need suitable local prices. magicplan estimator documentation
The company’s Starter Plan documentation currently says that two projects can be created without a time limit and can include floor-plan editing, material and labour estimates, and exports. magicplan Starter Plan Its UK App Store listing confirms availability for iPhone and iPad. Apple App Store UK
There is a material documentation inconsistency: the Starter Plan page describes estimating within two free projects, while other magicplan documentation associates the full PRO Estimator and custom price lists with a paid PRO subscription. Plan entitlements should therefore be confirmed inside the app before the project depends on them.
Analysis and recommendation
magicplan is most relevant when floor area, wall length or room dimensions affect the quantities you need. It can support early estimates for flooring, paint or similar measurable items, but its calculated output remains a planning estimate—not a contractor’s quotation.
For a UK household, locally researched labour rates, product prices and taxes are essential because the documented built-in price data is US-specific.
Pros
- Connects estimated quantities to room measurements.
- Keeps photographs, notes and plans together.
- Supports estimate and report exports.
- Two free projects may cover a one-property renovation.
Cons
- Default US estimating data is not suitable for a UK budget.
- Current plan documentation is not completely consistent.
- Paid PRO plans start at ten new projects per month and are positioned primarily for professional teams. magicplan pricing
- A floor-plan calculation cannot account for concealed defects, contractor availability or design changes.
Trello: good for coordination, not budget arithmetic
Documented functionality
Trello organises work through boards, lists, cards and checklists. Cards can include assignees, due dates, comments and attachments. Its Free plan allows up to ten boards and ten collaborators per workspace, with a 10MB limit per attachment and 250 automation runs per month. Trello pricing
Custom Fields, which can hold structured cost or status information, require the Standard plan. That plan is advertised at US$5 per user per month when billed annually or US$6 when billed monthly; UK checkout totals may differ because the published figure is in US dollars. CSV export requires Premium, although every board member can export raw JSON. Atlassian Support The iOS app is currently listed in the UK App Store. Apple App Store UK
Analysis and recommendation
Trello is useful when several people need to know what is waiting for a quote, approved, ordered or completed. A simple board might contain these lists:
- Ideas
- Quotes requested
- Decision needed
- Approved
- Ordered
- In progress
- Complete
- Paid
It is less suitable for calculating a complete renovation budget. Trello does not provide Airtable-style rollups as a standard budgeting feature. For reliable totals, pair it with a spreadsheet or database and place a link to the relevant cost record on each card.
Pros
- Easy visual overview of project status.
- Helpful for couples, families and contractors sharing decisions.
- Supports due dates, checklists, comments and documents.
- The Free plan covers basic coordination.
Cons
- Poor choice as the sole source of financial totals.
- Structured Custom Fields require a paid plan.
- Human-friendly CSV export requires Premium.
- Costs can become buried in descriptions or comments without strict rules.
A practical renovation budgeting workflow
1. Record allowances before requesting quotes
Enter a provisional amount for every known part of the work. Label it clearly as an allowance so nobody mistakes it for a confirmed price.
2. Request comparable written quotations
Ask each trader to price the same scope. Citizens Advice recommends obtaining at least three written quotations and checking the work breakdown, materials, validity period, VAT treatment and circumstances in which the price may increase. Citizens Advice
Attach each document to the relevant cost record. Keep rejected quotes for comparison, but mark them as inactive so they are not included in your forecast.
3. Lock the baseline
Once you select the scope, save a dated baseline containing:
- Approved total budget
- Selected quotations
- Expected payment schedule
- Reserved contingency
- Work explicitly excluded
A later increase should appear as a change, not as a silent edit to the original figure.
4. Approve every variation separately
Create a change record before extra work begins. Include:
- What changed
- Why it changed
- Labour and material cost
- VAT
- Effect on the schedule
- Person who approved it
- Date of approval
MoneyHelper advises requesting a written estimate and an updated costed work schedule before agreeing to additional work. MoneyHelper
5. Reconcile payments regularly
Compare app records with invoices and bank or card transactions. Update deposits, staged payments, refunds and credits individually. A marked “complete” task does not necessarily mean that its invoice has been paid—or that the final invoice matches the quotation.
6. Review the forecast, not just spending to date
A project can appear under budget simply because large invoices have not arrived. Review these figures together:
- Amount paid
- Unpaid commitments
- Remaining estimates
- Approved changes
- Contingency remaining
- Forecast final cost
- Variance against budget
If the forecast exceeds the limit, pause optional items before committed work creates a household cash-flow problem.
Protect your documents and payments
Renovation apps may contain your address, property photographs, contracts and supplier details. Apple’s UK listings say that Airtable, magicplan and Trello may collect or link certain contact, identifier, usage or user-content data, depending on the service and features used. Apple also notes that these privacy declarations are supplied by developers and are not verified by Apple. Review current permissions and privacy policies before uploading sensitive material. Airtable listing, magicplan listing, Trello listing
Avoid storing full payment-card numbers or online banking credentials in a project app. Keep original contracts and invoices in a separate backed-up location as well.
For eligible purchases costing more than £100 and up to £30,000, paying at least part by credit card can provide Section 75 protection. This does not make borrowing affordable, and the protection depends on the transaction meeting the legal requirements. MoneyHelper
Conclusion
For most households, Airtable offers the strongest balance of cost tracking, calculations and document organisation. magicplan adds value when room measurements determine quantities, while Trello is better for coordinating tasks and approvals than calculating money.
Whichever project app you use, the essential discipline is the same: separate estimates from commitments, document every change, include VAT correctly and judge affordability using the forecast final cost—not merely the amount paid so far.
